Onsite Fulfillment App

Onsite Fulfillment (OSF) allows you to streamline your registration process, associate Schedule Items with physical credentials, and provide more powerful customer support tools to assist attendees with Schedule Registration onsite. 

Requirements

Access to the onsite fulfillment feature requires the Conventions permissions Onsite Fulfillment

Getting Started

To access the application, navigate to Event Setup > Onsite Fulfillment in your browser. While the app is compatible with various devices, it is optimized for use on a laptop.

Hardware Requirements

  • A laptop (preferred)
  • A Wave ID Solo RFID Reader
  • A USB QR Code or Barcode scanner

Finding an Attendee (Search)

The following criteria can be used to locate an Order:

  • QR Code information from an Order
    • Input from USB QR Code/Barcode scanner
  • QR Code information from a Ticket
    • Input from USB QR Code/Barcode scanner
  • RFID input from the credential
    • This would return the associated ticket/order that is attached to the order if it has been attached
  • First/Last Name on Order
  • Email on Order
  • First/Last Name on Ticket
  • Email on Ticket
  • Transaction ID
  • Order ID
  • Phone Number on Order

Search Settings

In the Search Settings, you'll be able to filter which results you'd like the OSF Web App to display in the results. This can be configured at any time.

Note: A unique pin be set for access the settings page.

Check In

Checking in functions the same as the Conventions Check-In App.

  • Checking Products In/Out
    • Both Admission and Non-Admission products can be checked in/out
    • Check In All will Check In all products associated with the order
    • A Check In Date/Time stamp will appear after the check-in button is selected

Attach/Detach a Credential

  • Attaching can be used to associate a physical credential with a specific product
    • After attachment, the short key on the physical credential will display
  • Detaching was built with the use case of if an initial credential is misplaced, this would be a great way to accommodate replacing it with a new credential

Attaching a Credential to a Product

  1. Select the product you'd like to attach a credential to
  2. Tap the credential on the RFID reader
  3. The credential is now associated with that product type and will be eligible for tap-in for schedule items

Detaching a Credential from a Product

  1. Select the product you'd like to detach the credential from
  2. Confirm that you would like to detach the credential

Managing Schedule Items

A unique feature of OSF is the ability to manage Schedule Items on an attendee's behalf. Within a specific attendee's order, you can select the 'Schedule Items' tab. This will populate a view of all the Schedule Items that are currently registered under that specific order.

  • Onsite Fulfillment will respect any registration limits that are configured in the Conventions Admin.
  • Onsite Fulfillment will also respect any inventory implications that are set in the Conventions Admin.
  • Additionally, the available Schedule Item’s dates and other details will only update when the Onsite Fulfillment Web app is loaded the first time.
  • Schedule Items offers both a view of the Schedule Items associated with the overall order and the individual ticket holders.
    • To manage Schedule Items, select the schedule item or the specific attendee you'd like to manage.
    • In the case of selecting actions within the 'All' view, the dropdown will offer a selection of which attendees' schedule items you'd like to manage.

Tip

💡 Schedule Items that require a purchase cannot be managed using the Onsite Fulfillment Web application at this time

 

Adding Schedule Items

  • Below is an example of an attendee who has not registered for any Schedule Items
  • In the upper right-hand corner, there will be an 'Add to Schedule' option available. This can be used to register for a Schedule Item on the attendee's behalf.
  • Adding to a Schedule will not be available for events that have passed, as well as items that have reached their registration limit.

By selecting the 'Add to Schedule' button, a modal will pop up where you can use a variety of tools to find a specific Schedule Item.

Note

Only date and locations of Schedule Items that fall within the event dates under Event Setup > Date Setup in the Conventions Admin will appear.

 

Swapping Schedule Items

The use case of swapping schedule items is to replace an existing Schedule Item registration with a new one.

  • By swapping an attendee's schedule item, you will release that inventory back to the original schedule item. This will allow for additional new registrations.
  • Swaps will not be allowed if the attendee has reached their registration limit or if the schedule item is full. It also will not allow for swaps into schedule items that have an existing conflict on the attendees' schedule

Removing a Schedule Item

Removing a Schedule Item can be used in cases where the attendee no longer wants to participate in an event or maybe would like to register for another Schedule Item that could be occurring at the same time.

Excluded Features

  • Credential Association using the Onsite Fulfillment Web App currently requires each credential to be individually tapped on the RFID reader for proper association of credentials and schedule items. Because of this one-by-one requirement, event organizers should account for that in their staffing and expectations for their attendees.
